In the mode of viewing the list of vehicles, the following options are available:
- selection by type of transport (in the “Quantity” window the number of vehicles of the selected type is shown),
- sorting according to various criteria,
- adding (the “Add” button), deleting (the “Delete” button), changing (the “Change” button or double-clicking the mouse button on the selected line) of a vehicle card,
- generating a list of vehicles with the selected sorting and selection (the “Print list” button) in Excel,
- opening a list of waybills for the selected vehicle (button “Waysheets”).
You can fill out the list of vehicles by importing it from an external file into the “Service” menu - “Import the directory ‘Vehicle Transport’ from an Excel file or from the 1C-Enterprise 7.7 database in the menu “Service” - “Import the directory ‘Vehicle Transport’ from 1C.
When deleting vehicles, the referential integrity of the database is monitored using logs of travel tickets, expenses and income, as well as lists of tasks and mileage reminders.

Required fields: “Make, model” and “State registration number”. When recording a vehicle card, the uniqueness of the state registration number is controlled. The availability of input fields for the “Fuel consumption” group of details is determined by the type of vehicle. An object for a client is selected from the object directory (by clicking the Edit button or using the right-click context menu).
Average mileage is used to calculate the total mileage along the route and waybill.

3. Route accounting

The list of routes opens from the menu “Modes – Route Directory”.



In the route directory form, routes are entered in the top window (with uniqueness controlled by the route name). In the route card you can fill in the details: departure time, return time, total working hours, departure address, notes of correction factors for calculating fuel consumption.


In the lower window for the current route, you can add an arbitrary number of objects from the “Clients and objects” directory. Objects can be moved in any direction when the sorting mode is set to sequential order. In this order, the objects will be located on the waybill.
For any object of the current route, you can change the object, client and mileage.
In the information window on the right, the number of objects and the total mileage are calculated for the current route.

4. Accounting for waybills

The log of waybills is kept on the “Waysheets” tab (opened from the menu “Modes – Waybills”).

Selection of waybills by status (all, new, prepared, issued, handed over, processed) - the status of the waybill is displayed in the rightmost column of the journal,

Selection by car (using the “Set selection” button for the selected car or by selecting from the “Car” list),
- selection by driver (by selecting from the “Driver” list),
- selection of waybills along the route,
- selection by division or area,
- adding (the “Add” button), copying (the “Copy” button), deleting (the “Delete” button), changing (the “Change” button or double-clicking the mouse button on the selected line) waybill,
- generation of a printed form of the waybill journal (the “Print” button) in Excel,

Fuel consumption according to the standard for the main type of fuel is calculated automatically based on the data entered in the fields under the heading “Calculation of the standard consumption of the main type of fuel” and the established correction factors.
If the calculation mode is selected in the program settings - by objects and at least one object is marked in the list, the calculation of fuel consumption, mileage, and operating time is carried out according to the data in the list of objects, taking into account additional correction factors of the objects. In this case, for each object, both the general coefficients of the waybill and the coefficients of the object are taken into account.

Additional correction factors are selected from the appropriate reference book. In the list form of this directory, when positioning on a group of coefficients, a list of coefficients of the selected group is shown in the field on the right.

General correction factors can be transferred between waybills (using the “Remember correction notes” and “Insert correction notes” links).

To print a waybill in Excel format (click on the “Print” button), use the templates of waybills located in the program directory. The list of templates and displayed details of waybills is given in the “Service” - “Settings for printing waybills” menu. To prepare your own template, place an Excel file with the appropriate name in the program directory, enter in its cells in the required places the names of the waybill details templates, starting with the service symbol #.
IMPORTANT: Templates for the details of the "Information about objects" group are indicated in the waybill templates strictly in order, starting with 1, and are printed only for marked lines in the list of routeing list objects. Templates #From1 and #DeparturePlace are filled in from the "Departure Place" field of the waybill, templates #From2, #From3, etc. are filled with the names of objects from the previous marked line of the list of objects of the waybill.

When the status of the waybill is “Prepared” and “Issued”, data corresponding to the indicators upon return (date, time, remaining fuel and fuel consumption, mileage, speedometer readings, salary data) are not printed.

The type of printed form (standard or user form) is determined by the constant “Use user templates for printing waybills”, set in the “Service - Basic program settings” menu.

Vehicle Accounting

The system allows you to keep track of vehicles. For each vehicle unit in the system, a vehicle card is created in which the following are registered:

Vehicle data (vehicle type/make/model, year of manufacture, garage and inventory numbers, VIN, etc.);

Data on the state registration of the vehicle (PTS, registration certificates, maintenance coupons, licenses, etc.);

Numbered units (including replacement of numbered units);

Installed additional equipment (name of additional equipment, date of installation, date of dismantling);

Trailers used on the vehicle (coupling date, uncoupling date, trailer type, state number);

Vehicle repairs (overhaul, current, maintenance);

History of installation/dismantling of tires and batteries.

From the vehicle card, the system allows you to view the history of changes in all data about the vehicle.

Accounting for waybills

The system implements a full cycle of waybill accounting, has developed effective methods for automatically generating, filling out and closing waybills, and provides ample opportunities for setting up the processes for recording these documents.

The system provides the ability to enter applications for vehicles, the data from which automatically falls into orders for the specified dates. Applications can be created for one day or for a specified period. The order can be generated either manually or based on processed applications.

The generation of waybills in the system can be carried out automatically based on processed order lines for one vehicle or a list of vehicles, or manually for individual vehicles.

The system allows you to indicate in the waybill (from the corresponding directory) a planned route for vehicles, which contains information about the planned work, the time of its completion and distances by road category.

Support for 7 main types of printed forms of waybills has been implemented:

Freight taking into account transport work;

Freight with an hourly rate;

Intercity transportation;

Passenger cars;

Special vehicles;

Buses;

Mechanisms.

For each of the printing forms, there is the possibility of manually setting up printing, which allows you to print waybills not only on blank sheets, but also on printed forms.

The system allows you to select the mode of filling in completed work in the waybill. The mode can be specified both for each machine separately and for a group of machines. The following options for filling out completed work are possible:

Automatic – filling in completed work if a planned task is indicated when issuing a waybill. In this case, data on mileage, fuel consumption, route, work completion time are generated on the basis of data received from the monitoring equipment installed on vehicles (GPS receiver, fuel sensor).

Manually, with control - completed work is filled in manually, followed by comparison with the planned task and data obtained from the monitoring equipment installed on vehicles.

The system is integrated with equipment (on-board units) installed on vehicles, which allows you to control the operation of vehicles and display their location on a geographic map of the area.

To monitor vehicles, planned routes/tasks are created in the system. The control points of the route are recorded on the map, and for each section of the route (control point) its characteristics are indicated, including: list of works, time of work, planned distances, categories of roads, complexity of the route.

After completing the planned task, when processing the waybill, the system automatically compares the recorded actual data with the data of the planned route/task. If discrepancies are detected, the system signals the discrepancies to the responsible employees of the enterprise.

The system allows you to view the actual route of the vehicle on a geographic map of the area and compare it with the planned route.

The system implements a mechanism for monitoring the life cycle of waybills (creation, printing, issuance to drivers, acceptance, calculation, etc.). The system automatically generates a log of waybills, which displays the facts of issuance and receipt of waybills; for each waybill, information about the remaining fuel and lubricants in the vehicle tank is displayed, speedometer readings and other information necessary for accounting of waybills are displayed.

The system automatically calculates the standard consumption of fuel and lubricants. The calculation is made for each individual type of work in the waybill, for the waybill as a whole, taking into account reference data on the vehicle (fuel consumption rates, increasing factors, etc.). The calculation may use data from a planned task, or data from a GPS receiver, or actual entered data, depending on the system settings for the selected vehicle.

Calculation of the cost of work performed

The system calculates the cost of each completed work indicated in the waybill, as well as calculates the total cost of performing work for the waybill as a whole.

The system allows you to configure the calculation of the cost of work performed: according to planned data, according to actually entered data, according to GPS receiver data.

The payment calculation module provides the ability to calculate bonuses/surcharges for each driver, vehicle, type of work and their combination, method of work, location of work.

After calculating the cost of work, the system generates work orders for a specific driver and for all drivers working during a given period.

After generating orders, the system allows you to view printed forms of orders, as well as printed forms of cards for recording work performed for each driver for each job performed. The accounting card provides all the information on the work: amount of cargo, type of work, method of work, prices, coefficients and increasing prices, etc.

The system implements a spare parts warehouse module. This is a full-featured subsystem that provides automation of all business processes of the spare parts warehouse - acceptance and shipment of spare parts for cars, return of purchased spare parts to suppliers and accounting for returns of spare parts installed on vehicles, movement of spare parts throughout the warehouse, inventory, registration of defects, processing of cases of mismatch, etc. .P.

The module provides maintenance of a hierarchical address warehouse, indicating storage locations for the entire range of spare parts.

The system supports the maintenance of a spare parts directory, which ensures that data is updated based on the import of files from other enterprise systems or third-party systems.

The module provides automatic generation of all necessary warehouse documents, including receipt orders, invoice requirements, etc.

The spare parts warehouse module is fully integrated with other system modules, which avoids double data entry to account for the movement of spare parts within the enterprise.

If a motor transport enterprise has its own gas station, the system allows you to keep records of fuels and lubricants at the gas station. The system records all the facts of the arrival of fuel and lubricants at gas stations, records overhead costs, and provides calculation of the cost of fuel and lubricants.
